How to access and use the e-Resources usage and national statistics dashboards on Tableau
NHS England has 5 dashboards in Tableau covering usage statistical data for the following e-resources: Hub total requests (includes fulltext, linkout and abstract requests) BMJBP page impressions OpenAthens account and successful authentication totals LibKey total requests Royal Marsden Manual total item requests These allow Trusts to compare usage statistics with similar organisations. An explanatory guide to the dashboards is available. Dashboards are updated quarterly. Q1 data will normally appear in August, Q2 data in November, Q3 data in February and Q4 data in May. In addition, there are dashboards for key metrics, and part 1 (Workforce) and part 2 (Activity Data) of the national statistics. The NHS England data services team will need to grant access to these dashboards in Tableau. If you are a KLS manager or the member of the team looking after eresources usage and statistical reporting, and want access to the dashboards, please log a request with the Service Desk. The Data Services team will set up your permissions and email asking you to register to access NHS England applications. Once you have done this, you will receive an authentication email to which you'll need to respond. You'll then be able to access the dashboards on Tableau. I've been granted access but am having problems seeing the dashboards Users who have existing access to NHSE Microsoft services should log into an existing Microsoft account linked to NHSE and access the dashboards in Tableau via the link you have been sent.. You will be prompted to sign-in with your Microsoft account. Users who don’t already access NHSE Microsoft services, for example to an existing NHSE SharePoint site, will need to create a Microsoft Account. You will have been sent an invitation to access Tableau. Rather than clicking ‘accept the invitation’ at the bottom of the email it is recommended that you right-click and open in a private/incognito window. This is to ensure you are not signed into any other Microsoft accounts (e.g., personal accounts) when accepting that do not have access to Tableau. When you have accepted the invitation you will be invited to create a Microsoft account linked to your email address. If your account is already associated with NHSE’s Microsoft services you will be asked to sign in rather than create an account. Click the link to the dashboards in Tableau which you have been sent. Troubleshooting If you are still having trouble logging in, particularly if you have another Microsoft account for your organisation, try opening an incognito window in your browser (via the settings menu at the top right), click the link to the Tableau dashboards you will have been sent and log in using your Microsoft account.. If you see an error relating to invalid username or password resetting cookies in your browser may help: For Google Chrome go to the three dots at the top right of your browser, choose settings > security and privacy > clear browsing data > Select last 7 days on time range > select Cookies and other site data > clear data. For Microsoft Edge go to the three dots at the top right of your browser, choose settings > privacy, search and services > clear browsing data > clear browsing data now > Select last 7 days on time range > select Cookies and other site data > clear now. Clearing the browser cache can also resolve errors: For Google Chrome go to the three dots at the top right of your browser, choose settings > security and privacy > clear browsing data > select Cached images and files > clear data. For Microsoft Edge go to the three dots at the top right of your browser, choose settings > privacy, search and services > clear browsing data > clear browsing data now > select cached images and files > clear now. How do I benchmark my service using the e-resources usage statistics dashboards?
Medians are used for comparison. Median lines are included on the dashboards. They are dynamic and will change depending on the data being presented. The median is the mid-point in a range of data values. We prefer it to the mean or average as this is sensitive to outliers in the data. At NHSE we look at the median of Trusts of same size and type in your region. Step 1 Check your organisation for its type and tier. Step 2 Open the Tableau dashboards and select the dashboard you want to use. Note that you will need to be given access to Tableau. Request access via the Service Desk. Step 3 Filter the data to show organisations of your size and type. If your organisation is an acute Trust in tier 3 in the North West. Select the down arrow next to Organisation Type and deselect all options by clicking All. Once all option boxes are blank, select 'Acute'. Select the down arrow next to Organisation Tier and deselect all options by clicking All. Once all option boxes are blank, select '3-Medium Organisations'. Select the down arrow next to Region and deselect all options by clicking All. Once all option boxes are blank, select 'North West'. Step 4 In this example, all the tier 3 acute Trusts in the North West are displayed in the Trusts section of the dashboard. The median line shows the median for the Trusts you selected in step 3. Make a note of it. Step 5 Now select your own Trust to find your median. Select the down arrow next to Trust Name and deselect all options by clicking All. Once all option boxes are black, select your own Trust. Make a note of your median. Is it above or below the median for all similar Trusts in your region? If it is above, you can be reassured that your usage of the resource is good. If it is below, find a Trust with usage significantly above the median for all similar Trusts in your region, and ask what they have been doing to achieve it. Please note that if there are organisations with particularly low usage compared to others in the filtered set of organisations, they will lower the median unduly. If this is the case, please filter to exclude these organisations.

What is COUNTER 5.1?
COUNTER is a standard set of metrics to report on usage of electronic content. The latest release is 5.1. COUNTER metrics are applied to usage, search and denials. Usage of content, such as articles or e-books, is recorded at the platform, title and item level. For example, articles in an issue of a journal are counted at the item level, while the journal itself is counted at the title level. The platform on which the content is hosted, is counted at the platform level. When a user Investigates content, both the total and the unique number of investigations are recorded. Requests for the full-text are recorded as investigations but are also reported separately Searches are recorded when a database has been specifically requested, when searched with other databases, or when searched via an API. Denials used to be known as turnaways. They are known in COUNTER 5.0 and above as Access denied. This can be due to not having a licence to access the content or because the simultaneous user limit has been reached. For more information, read the Friendly Guide to release 5 for librarians. What 's new in COUNTER 5.1? Book usage is reported using both Item and Title metrics. Title metrics are not affected. New item-level reporting allows publish to report on chapter usage. If applied, you'd be able to see which chapters in a book are being most used. Data types have been expanded to enable publishers to report usage in a more granular way. Access types now include: Controlled (subscribed content) Open (open access regardless of type) Free to read (content made freely available for a time-limited period) Free to read and open access types are removed from Journal Requests, Excluding OA Gold and Book Requests, Excluding OA Gold. These are relabelled Journal Requests (Controlled) and Book Requests (Controlled). Book usage can now be reported more granularly at chapter level. Unique Item requests would treat all chapter accesses and 1 unique item request. In 5.1 each chapter would be counted separately. If a user accessed 5 different chapters, the unique item requests would now show 5. There have been changes to Sushi metrics and the JSON schema.
