How to access and use the e-Resources usage and national statistics dashboards on Tableau
NHS England has 5 dashboards in Tableau covering usage statistical data for the following e-resources:
- Hub total requests (includes fulltext, linkout and abstract requests)
- BMJBP page impressions
- OpenAthens account and successful authentication totals
- LibKey total requests
- Royal Marsden Manual total item requests
These allow Trusts to compare usage statistics with similar organisations. An explanatory guide to the dashboards is available. Dashboards are updated quarterly. Q1 data will normally appear in August, Q2 data in November, Q3 data in February and Q4 data in May.
In addition, there are dashboards for key metrics, and part 1 (Workforce) and part 2 (Activity Data) of the national statistics.
The NHS England data services team will need to grant access to these dashboards in Tableau. If you are a KLS manager or the member of the team looking after eresources usage and statistical reporting, and want access to the dashboards, please log a request with the Service Desk.
The Data Services team will set up your permissions and email asking you to register to access NHS England applications. Once you have done this, you will receive an authentication email to which you'll need to respond. You'll then be able to access the dashboards on Tableau.
I've been granted access but am having problems seeing the dashboards
Users who have existing access to NHSE Microsoft services should log into an existing Microsoft account linked to NHSE and access the dashboards in Tableau via the link you have been sent.. You will be prompted to sign-in with your Microsoft account.
Users who don’t already access NHSE Microsoft services, for example to an existing NHSE SharePoint site, will need to create a Microsoft Account.
- You will have been sent an invitation to access Tableau. Rather than clicking ‘accept the invitation’ at the bottom of the email it is recommended that you right-click and open in a private/incognito window. This is to ensure you are not signed into any other Microsoft accounts (e.g., personal accounts) when accepting that do not have access to Tableau.
- When you have accepted the invitation you will be invited to create a Microsoft account linked to your email address.
- If your account is already associated with NHSE’s Microsoft services you will be asked to sign in rather than create an account.
- Click the link to the dashboards in Tableau which you have been sent.
Troubleshooting
If you are still having trouble logging in, particularly if you have another Microsoft account for your organisation, try opening an incognito window in your browser (via the settings menu at the top right), click the link to the Tableau dashboards you will have been sent and log in using your Microsoft account..
If you see an error relating to invalid username or password resetting cookies in your browser may help:
- For Google Chrome go to the three dots at the top right of your browser, choose settings > security and privacy > clear browsing data > Select last 7 days on time range > select Cookies and other site data > clear data.
- For Microsoft Edge go to the three dots at the top right of your browser, choose settings > privacy, search and services > clear browsing data > clear browsing data now > Select last 7 days on time range > select Cookies and other site data > clear now.
Clearing the browser cache can also resolve errors:
- For Google Chrome go to the three dots at the top right of your browser, choose settings > security and privacy > clear browsing data > select Cached images and files > clear data.
- For Microsoft Edge go to the three dots at the top right of your browser, choose settings > privacy, search and services > clear browsing data > clear browsing data now > select cached images and files > clear now.
